Not all productivity looks the same, but by recognizing the energy that is present, you will be able to maximize your output.
It’s something we probably know intuitively, but it can really help when you intentionally keep it in mind (if you have the freedom/flexibility to take advantage of it).
This isn’t an exhaustive list, just based on my own experience. Also you don’t really choose when a particular type of energy strikes. It’s mostly a factor of available physical/mental stamina, inspiration, mood, environment, hormones, etc… The idea is to be able to sit with yourself and figure out which energy feels most accessible in the moment.
The “keep your head down” energy: this one is pretty basic and probably the most accessible. This energy is powerful when you don’t have to really think that much, just do. This is usually easier when you have systems/routines/strict guidelines in place where all you have to do is “follow the road” and you will complete your work in simply a matter of time. This energy is mostly a function of physical stamina. To maximize your productivity when this energy hits, be sure to have systems/habits in place that remove guesswork and distractions so you can just plow through without stopping. This is a good time for work that requires repetitive actions like typing or cleaning.
The “creative” energy: this one is as it sounds, energy to create something new or to solve problems. Routine tasks will probably feel mundane. This would be a good time to brainstorm, start from a blank page, or try to solve an issue that’s been stumping you.
The “looking for inspiration” energy: this is sort of “invisible” productivity because it doesn’t really produce anything tangible. Do note that this is NOT the same as being bored/low energy/uninspired. Your brain is casting a net out into the world and seeing what feels good. You can usually tell this is not bored/tired energy because you feel pretty content/relaxed/focused, not underlying anxiety/uneasiness. It’s probably best to step away from work altogether with this energy because it’s unlikely you’ll produce something tangible.
If I were to make an analogy, I’d say these energies are similar to eating.
Looking for inspiration energy would be browsing the supermarket and seeing what catches your eye.
Creative energy would be looking at sales, considering what you already have at home, thinking about what you’re craving, thinking about potential recipes, etc…
Keep your head down energy would be actually preparing ingredients, cooking, cleaning up, etc…
And of course, there are times when you have none of these energies. That would probably be an indication to unplug a bit and not try to force productivity. But not all of us have the luxury so when you DO have to produce something, I highly recommend drawing from “keep you head down energy.” Since this energy is mostly a function of time anyway, find an activity or task that offers the least amount of resistance with the least chance of messing up. This is usually where admin tasks that we procrastinate (organizing, deleting stuff, catching up on backlog, updating spreadsheets) can get done, which frees up time/energy later for when feel more energized.
